ITSM User Guide for Approvers
This guide is for staff who are designated as Department Approvers responsible for reviewing and approving ticket requests.
How You Receive Approval Requests
When a ticket reaches your approval stage, the system automatically sends you an email notification containing:
- The ticket number, title, requestor name, and description.
- Two action buttons: Approve and Reject.
You can act directly from the email (Method 1) or log in to the portal (Method 2).
Method 1 — Approve or Reject via Email
- Open the approval notification email.
- Click the "View Ticket Detail" button in the email and review the request detail.
- Click Approve or Reject buttons in the notification email to submit your decision.
- Approval or Rejection reason/comment is only available to input via web portal (Method 2).
Note: Each approval link is single-use and expires once the ticket moves to the next stage or is revoked.
Method 2 — Approve or Reject via the Web Portal (Pending Tasks)
- Log in at https://itsm.macautower.com.mo/login.xhtml.
- In the left navigation menu, click Pending Tasks.
- Find the ticket you wish to review. You can filter by type, priority, category, or department.
- Click the eye icon (View) to open the full ticket detail page and review all attachments, descriptions, and prior history.
- Click on Approve or Reject button with comment in the ticket detail page, or return to Pending Tasks and click the action button (e.g. Approval) on the ticket row.
- In the dialog that appears:
- Select Approve or Reject.
- Enter an optional comment.
- Click Submit.
- The ticket status updates immediately and IT department will be notified by email.
Note: A badge shows the number of tasks awaiting your action in the upper right corner of the application page.
View Your Approved / Rejected Tickets (My Tickets)
Approvers who also submitted their own tickets can see them under Tickets → My Tickets.
To see the outcome of tickets you approved or rejected as a task:
- Go to Tickets → My Tickets.
- Click on the "My Approval" tab to view the list of tickets approved/rejected by you.
Tips for Approvers
- Act promptly — unactioned tasks delay the requestor and may breach SLA targets.
- Always add a comment when rejecting — this helps the requestor understand what needs to be corrected before resubmitting.
- Cannot find the email? Check your spam/junk folder, or log in to the portal and use Pending Tasks instead.
- Unavailable to approve? Contact the IT Department to arrange an alternate approver or to act on your behalf.
